At last! Spring is here, warmer weather—and the perfect time to undergo some deep cleaning. Your desk, your entire office space and even your website need some special attention. Schedule a time with your staff and get started!
- Make a plan.
Strategize the most time efficient and effective way to get the job done. Start with the heavy lifting, and then move on to smaller tasks. Divide up the responsibility by creating a cleaning chart or spreadsheet for your staff. As the old saying goes, “Divide and Conquer.”
- Form a layout for cleaning.
Which areas of your business office are easier to clean? Save those for last. Use a quickly drawn floor plan of our office to create an effective layout for what should get cleaned first. Since this is a big Spring cleaning, don’t just wipe down tables and vacuum rugs. Throw away old magazines, clean under furniture, wipe down photo frames, wall art, and knick knacks.
- Clean messier areas first.
Tackle big-mess rooms like the break room or kitchen, and reception area first. These high-traffic areas may take the most time and since they see a lot of action, need the most attention. Whatever your customer may see or interact with the most is your highest priority.
- Deep clean your books.
Especially for small business owners, right now, your head is probably deep in taxes. Take the time you need to sit down and go through your accounting carefully and correctly. Make a plan to be better at staying on top of things so you don’t have to go through the same thing next year.
- Take breaks.
Rome wasn’t built in a day, and your office Spring cleaning doesn’t have to be done in a day either. Taking breaks gives your body and mind time to rest, preventing you from getting bored or tired of cleaning by the end of the day.
- Clean up your website.
Spring cleaning isn’t limited to dusting the cabinets and trashing old magazines. Take some time to clean up your website. Answer comments, clean up old blog drafts that were never posted, and make sure your website matches your company’s current state of mind. Dedicating time to your website each year is essential to make sure it stays up to date.
- Throw away old papers.
There’s a reason you invested in that gigantic printer/scanner/copier/fax machine. Take old papers and either toss them out or scan them into a digital file. It will clear clutter off your desk and leave you feeling more productive with a clean workspace.
- Start from the top and work your way down.
When deep cleaning an office, conference rooms and bathrooms work from the top down. Literally, work from the ceiling to the floor. This way, if any dust, grime or dirt falls to the floor as you clean it is sure to get swept up.
- Update client and vendor information.
Do you have 3 different phone numbers written on one business card for one of your vendors? Maybe that vendor loses their phone a lot. Spring is the perfect time to update and organize your client and vendor information.
- Get through your inbox.
Last but not least, take the time to clean up your email inbox. Make a commitment to sit for however long it takes, have your calls forwarded and get through your email inbox. You’ll feel a lot better when you get it all cleaned up.
